Privacy Policy
What data we collect
When you use Search Momentum — either as a search coordinator or as a participant — we collect:
- Names and email addresses provided by the search coordinator
- Availability windows — the time slots you mark as free, busy, or tentative
- Calendar feed URLs — only if you choose to connect your calendar (Option A)
What we do NOT collect
- Calendar event titles, descriptions, or attendee lists
- Email content or inbox access
- Passwords — participant links are token-based, no account required
- Payment or financial data
- Cookies for tracking or advertising
Where your data is stored
Your data is stored on Supabase (SOC 2 Type 2 certified), hosted in Australia where possible. Our application is served by Vercel (SOC 2 Type 2 certified). Transactional emails are sent via Resend (GDPR compliant).
Who can see your data
Only the recruiting firm coordinator who manages the search can view participant availability. We do not share, sell, or disclose your data to any third party beyond the service providers listed above.
Calendar feeds
If you choose to connect your calendar, we access it in read-only mode. We parse only busy/free time blocks to determine your availability. We do not store event titles, descriptions, locations, or attendee information. You can disconnect your calendar at any time by contacting the search coordinator.
Participant links
Scheduling links sent to participants expire automatically after 7 days. After expiry, the link can no longer be used. The search coordinator can issue a new link at any time.
Data retention
Participant data — including names, emails, availability records, and calendar feed URLs — is deleted 90 days after a search is marked as closed. Search coordinators may request earlier deletion at any time.
Your rights
You may request access to, correction of, or deletion of your personal data at any time by emailing privacy@searchmomentum.com.au.
